Privacy Policy

In short

Minibooks Business is a ledger for a shop or trading business, made by Exabyte Software Solutions ("we"). It works fully on your phone with no account. Only if you choose to sign in with Google are your books sent to our server, to back them up, bring them back on another phone and share them with the team you invite. The app contains no advertising and no analytics or tracking code, never reads your contacts or location, and we do not sell your data.

On your phone

The app keeps these in its private storage on your phone, for each business you add:

• The business: its name, currency, financial year and units, and the letterhead you choose to fill in: owner's name, address, phone, email, tax number, tagline and a logo image.
• Parties (customers, suppliers, staff): the name you give each, and the city, phone, address, note and credit days you choose to add.
• Accounts and items: cash, bank and expense accounts; stock items with their units, prices and alert quantities.
• Entries and bills: amounts, dates, notes, the items and quantities on each bill, charges, discounts and due dates.
• An activity log: each change to the books, when, and on which phone (a random ID the app makes, not tied to the phone itself).
• Your settings: language, theme and reminder choices.

Android's own backup may copy your books and settings to your Google account, as it does for other apps, if backup is on for your phone. That copy is made and kept by Google under your account; we cannot see it. Your sign-in, if any, is never included.

If you sign in with Google

From your Google account we receive and store your name, email address and profile photo link, and a Google account ID used to recognise you next time. We never see your Google password.

The books of each business, exactly as listed above (logo and activity log included), are then sent to our server and kept in step with every phone you sign in on. Every change is stored with who made it and when. A row you delete is marked as deleted there, so your other phones remove it too; it is removed for good when its business is deleted. We also keep a record of each signed-in session (stored only in a scrambled form that cannot be used to sign in), which lapses after 180 days without use.

Signing out keeps your books in your account. You choose whether a copy stays on the phone.

Your team

If you invite people to a business, the app makes a link that works once, for 7 days; we store only a scrambled form of it, with the role it gives and who made it. You send the link yourself, through any app you choose.

Everyone in a business sees its books, as their role allows, and the team list: each member's Google name, profile photo and role (never their email address). The activity log shows each member which changes were made by whom. The owner decides who is in the team and can remove anyone. Whatever a member adds belongs to the business and stays in its books if that member leaves or is removed.

Only when you choose to send it

Bills, receipts, reminders, statements and reports(PDF or CSV) are made on your phone and go only where you send or save them. None of them passes through our server. A logo you choose is picked with Android's photo picker, which gives the app only that one image.

What we never collect

The app does not ask for or read your contacts, phone numbers, location, camera, microphone, other photos or files. Due-date reminders are worked out on the phone and shown by it; nothing is pushed from our server.

Permissions

• Internet: backup, sync and the team, only when you are signed in.
• Notifications: asked when you first save a bill with a due date, or turn on due-date reminders, for those reminders.
• Run at start-up, keep awake briefly, network state: added by Android's own job scheduler, so reminders still come after the phone restarts and a backup waits for a connection.

Why we use it

• To back up your books and bring them back on a new phone.
• To keep them the same on every phone you and your team sign in on.
• To show your team who made each change.
• To answer you, if you write to us.

We do not use your data for advertising, sell it, or share it with anyone except the members of your own businesses and the service providers below.

Service providers

These companies process data for us, only to run the app:

• Google — sign-in.
• Vercel — runs our server.
• MongoDB Atlas — our database.

Your data may therefore be processed outside your country. Every connection between the app and our server is encrypted (HTTPS). Our server logs record each request's type, path, result and timing, but not its contents or your IP address.

How long we keep it

Your account is kept until you delete it, and a business's books until its owner deletes the business. Unused invite links are removed when they expire. Books on your phone stay there until you remove them, uninstall the app or clear its storage.

Deleting your account

In the app, open Settings › Account › Delete account. This immediately deletes your account, every business you own that has no other members (with all of its books), your membership of other businesses, your unused invite links and your sessions. You choose whether the books stay on the phone. A business you own that has other members must first be handed to one of them (Settings › Team) or deleted. If you no longer have the app, see how to ask us to delete your account.

Your rights

You can see, change and delete every record in the app at any time, as your role allows, export reports as PDF or CSV, delete a business you own, and delete your account as above. For anything else, email us from the address you sign in with.

Children

Minibooks Business is not directed at children under 13, and we do not knowingly collect their data. If you believe a child has signed in, contact us and we will delete the account.

Changes to this policy

If what the app collects or shares changes, we will update this page and the date at the top before that version of the app is released.
